Scope of This Shipping Policy
This Shipping Policy applies to all orders placed through Kyoto Yamasan Online Store.
Please note that:
- This policy governs shipping methods, shipping costs, delivery timelines, tracking, and fulfillment locations only.
- Matters related to refunds or product issues are governed by our Return & Refund Policy.
- Matters related to order changes, cancellations, subscriptions, or pre-orders are governed by our Purchase Options Cancellation Policy.
- Estimated delivery times are not guaranteed delivery dates and may be affected by customs clearance, local postal services, public holidays, weather conditions, or other external factors beyond our control.
- Once an order has been dispatched, shipping arrangements (including carrier selection and transit route) may not be changeable.

📍 Warehouse & Fulfillment Information
We are based in Japan and also work with third-party fulfillment warehouses in several countries, including the United Kingdom, Canada, Germany, and Australia.
Whenever possible, orders will be shipped from the warehouse closest to your delivery address to shorten delivery time.
If the item is not available in your local warehouse, your order will be shipped directly from Japan, which may result in longer delivery times.

1. Shipping Locations
We offer domestic and international shipping based on product availability and destination. The shipping origin may vary depending on stock availability at our fulfillment centers.
2. Shipping Times
Delivery times vary depending on destination, shipping method, and customs processing.
For international orders shipped from Japan:

Orders over $50: Free shipping via Small Packet / ePacket
(Estimated delivery: approximately 15–40 business days) -
Orders over $89: Free shipping via EMS or DHL
(Estimated delivery: approximately 7–10 business days)
These delivery times are estimates only. Actual delivery may be affected by customs inspections, local postal service handling, public holidays, weather conditions, or other unforeseen circumstances beyond our control.
3. Shipping Costs
- Orders over $50 qualify for free international shipping via Small Packet / ePacket.
- Orders over $89 qualify for free international shipping via EMS or DHL.
- For orders that do not meet the free shipping threshold, shipping costs will be calculated at checkout based on destination and order size.
4. Tracking Information
Tracking information will be provided once your order has been shipped, when applicable.
Please note that tracking updates may be limited depending on the destination country and shipping method.
Important:
In some cases, your order may have already been shipped even if a tracking number has not yet been generated or updated in our system. In such cases, cancellation may no longer be possible.
Once an order has been handed over to the carrier, delivery is subject to the carrier’s terms and conditions. YAMASAN is not responsible for delays or service failures caused by the carrier.

Risk of Loss
All purchases made through the Service are made pursuant to a shipment contract. Risk of loss and title for items pass to the customer upon delivery of the order to the carrier. - Please ensure that your shipping address is accurate and complete. We are not responsible for delays, failed delivery, or shipping-to-sender situations caused by incorrect or incomplete address information.
- Customers are responsible for any customs duties, taxes, or import fees imposed by their country.
- Shipping time does not include customs clearance time.
- Refunds or compensation cannot be processed until the item has been successfully delivered, unless the shipment is officially confirmed as lost by the carrier.
- An order may have already been dispatched even if a tracking number has not yet appeared or been updated in our system, and cancellation may no longer be possible at that stage.
- We are not responsible for delays, refusals, or confiscation of shipments by customs authorities due to local import regulations or failure to provide required documentation.
- If a shipment is shippinged to us due to an incorrect address, failed delivery attempt, or refusal by the recipient, additional reshipping fees may apply, or a refund may be issued excluding original shipping costs.
6. Service Interruptions & Force Majeure
YAMASAN strives to meet all estimated delivery timelines; however, certain circumstances beyond our control may interrupt or prevent the commencement or continuation of delivery services.
Liability Limitation
If a carrier (including but not limited to Japan Post, EMS, DHL, or regional fulfillment partners) is unable to start or complete delivery due to reasons beyond our or their control, YAMASAN shall not be deemed in breach of contract. While we will take all reasonable measures permissible under the circumstances to facilitate the delivery of your package, we are not liable for delays or service failures caused by such interruptions.
These include, but are not limited to:
- Regional Conflicts: War, riots, civil unrest, or military actions affecting transit routes (e.g., Middle East airspace closures).
- Government Actions: Seizure of goods, actions by customs or similar authorities, or new security regulations.

- Natural Disasters: Extreme weather conditions, earthquakes, or other acts of nature that disrupt air or ground transportation systems.
- Technical Failures: Interruption or failure of communication and information systems, including carrier tracking networks.
- Labor Disputes: Strikes, lockouts, or other labor-related disruptions.
- Incomplete Information: Delays caused by insufficient or incorrect information provided by the customer.
In the event of such interruptions, any "Delivery Guarantees" or estimated timelines are suspended. Refunds or claims for "delayed delivery" will not be processed while a package is in a Force Majeure hold, until the carrier officially confirms the status of the shipment (e.g., officially lost or returned to sender).
